UAE VAT Invoice Requirements: What the FTA Expects (2026)
- Every tax invoice needs your TRN, a sequential number, and a line-by-line VAT breakdown.
- Retail sales under AED 10,000 can use a simplified invoice.
- Keep all invoices for 5 years — and never issue a VAT invoice without being registered.
The FTA checklist
- "Tax Invoice" clearly displayed
- Supplier name, address and TRN (Tax Registration Number)
- Customer name, address and TRN (if registered)
- Sequential invoice number — no gaps, no duplicates
- Date of issue and date of supply (if different)
- Description of goods/services with quantities
- Price per line excluding VAT, VAT rate and VAT amount per line
- Total excluding VAT, total VAT, total including VAT — in AED (with exchange rate shown if billed in another currency)
Simplified invoices
For retail sales under AED 10,000 to unregistered customers, a simplified invoice is allowed: supplier details + TRN, description, total including VAT, and the VAT amount (or a statement that the price includes VAT). Your everyday shop receipt qualifies — check it shows the TRN.
Common mistakes that draw penalties
- Missing or wrong TRN on the invoice
- Non-sequential numbering (deleted or duplicated numbers)
- VAT shown as a lump sum with no per-line breakdown
- Issuing "VAT invoices" without being registered — an offence in itself
- Not keeping invoices for 5 years
Annotated example: a compliant AED 10,500 invoice
Seeing the checklist applied to a real invoice makes it stick. Below is a sale of 10 office chairs at AED 1,000 each — AED 10,000 before VAT, AED 500 VAT at 5%, AED 10,500 total. Every row maps to a requirement from the FTA checklist above.
| Invoice element | Compliant example |
|---|---|
| Document title | "Tax Invoice" printed at the top |
| Supplier block | Al Noor Office Supplies LLC, Dubai — TRN 100200300400003 |
| Customer block | ABC Trading LLC, Sharjah — TRN 100200300400009 (included because the customer is registered) |
| Invoice number | INV-2026-0142 — follows INV-2026-0141, no gaps |
| Dates | Issue date: 3 Nov 2026 · Date of supply: 3 Nov 2026 |
| Line 1 | Office chairs × 10 @ AED 1,000 = AED 10,000 excl. VAT · VAT 5% = AED 500 |
| Totals | Excl. VAT: AED 10,000 · Total VAT: AED 500 · Incl. VAT: AED 10,500 |
| Currency | All amounts in AED (if billed in another currency, the exchange rate must appear) |
Sanity-check the arithmetic before sending: 5% on AED 10,000 is exactly AED 500. Run your own figures through the VAT calculator — it takes seconds and catches the rounding errors auditors love to find.
B2B vs B2C: which invoice type to issue
The checklist above describes a full tax invoice. Not every sale needs one:
- Business customer (registered): full tax invoice showing the customer's TRN — they need it to reclaim input VAT
- Walk-in retail under AED 10,000: a simplified invoice is enough (supplier details + TRN, description, total including VAT)
- Sale over AED 10,000 to an unregistered customer: issue the full tax invoice anyway, minus the customer TRN line
- You are not registered: issue a normal commercial invoice with no VAT charged and no TRN — adding VAT without registration is an offence (see VAT penalties)
When in doubt, issue the fuller version: a simplified invoice where a full one was required is a defect; a full invoice where a simplified one would do is just extra diligence.
Cross-checking invoices before each VAT return
VAT returns are due within 28 days of each tax period, and the totals you declare must tie back to your invoices. Build a 10-minute pre-filing routine:
- Tie the totals: sum the VAT on all invoices in the period — it must match the output VAT on your return to the fils
- Check the sequence: scan invoice numbers for gaps or duplicates (a gap usually means a deleted or unrecorded invoice)
- Verify TRNs: every purchase invoice you claim input VAT on must show the supplier's TRN — a missing TRN means no claim
- Match zero-rated lines: supplies at 0% still appear on the return as zero-rated; make sure they aren't sitting in the exempt column (see zero-rated vs exempt)
- File the period's invoices together: one folder per tax period makes the 5-year retention rule painless if you're ever audited
Get this routine wrong often enough and the FTA notices — and the bill for sloppiness is real. See what VAT penalties actually cost.
